General Terms and Conditions (GTC) for Events

1. Cancellation conditions
for eventsA free cancellation of booked events is possible up to 30 calendar days before the date of the event . In case of cancellation within:
- 29 to 19 calendar days before the date, 30% of the agreed total amount will be charged.
- 18 to 10 calendar days before the date, 50% of the agreed total amount will be charged.
- 10 to 3 calendar days before the date, 70% of the agreed total amount will be charged.
- Less than 3 calendar days before the date, the full amount (100%) will be charged.
Services already provided (e.g. consulting, planning, material preparation) will becharged separately regardless of the time of cancellation. ( Valid from March 29th 2025 )
2. Billing basis for eventsBilling
is based on the previously agreed number of participants, but at least the last announced number of people at least 7 working days before the start of the event. If the actual number of participants increases, the difference will be charged accordingly. Reductions in the number of participants after this date cannot be taken into account. 3. Price list for eventsAll prices are in euros including VAT, unless otherwise stated.
Unless otherwise stated, prices are per person (p.p./pax) or per piece (pcs./item).
The price list valid at the time of booking confirmation applies. Prices are subject to change due to adjustments to raw material costs, labour costs or taxes, provided that the event has been booked more than 3 months in advance. ( Valid from March 29th 2025 )
4. Self-sufficiency and personal consumption
The taking and consumption of one’s own food and drinks is not permitted unless otherwise agreed in writing. ( Valid from March 29th 2025 )
5. Allergens and intolerances
Food requirements due to allergies or intolerances must be announced in writing at least two days before the event. ( Valid from March 29th 2025 )
6. Deposit for events
To secure the booking, a deposit of 30% of the agreed total amount must be paid no later than 14 days after booking confirmation. The deposit will be deducted from the total bill. In the event of cancellation by the customer, the deposit will be retained or refunded on a pro rata basis in accordance with the cancellation conditions set out in point 1.
The security deposit also serves as a security deposit for any damage or excessive contamination at the venue, as well as for damaged or destroyed inventory and materials that exceed normal wear and tear. If such damage or cleaning efforts are detected, we reserve the right to withhold the deposit in whole or in part. Any additional costs will be invoiced separately to the customer. 7. Group Offers and Administrative Fees
For group offers as well as offers involving credit notes, ServeSmart reserves the right to charge a reasonable flat fee for administrative effort and personnel provision. (Valid from April 1st 2025)
